Privacy Policy

This policy explains what personal information Brand It! Midlands collects, why we collect it, how we use it, and what rights you have over it.


1. Who we are

Brand It! Midlands (“we”, “us”, “our”) provides website design, logo design, branding, signage, vehicle graphics, workwear and promotional merchandise services.

Brand It! Midlands is a trading name of Brand It Midlands, a company registered in England and Wales under company number 17365031, registered office Unit 3, Branstones Ind Est, Melton Road, Queniborough, Leicester, Leicestershire, LE7 3FP, United Kingdom.

We are the “data controller” for the personal information described in this policy. That means we decide what information is collected and how it is used.


2. Information we collect

Information you give us directly

When you contact us through our website form, by phone, email, WhatsApp or social media, we may collect:

  • Your name
  • Your email address
  • Your phone number
  • The service you are interested in
  • Any other details you choose to include in your message

If you go on to become a customer, we may also collect:

  • Your business name and trading address
  • Billing and delivery addresses
  • Vehicle details (for vehicle graphics work)
  • Artwork, logos and brand files you supply to us
  • Records of quotes, orders, proofs, approvals and correspondence
  • Payment records (we do not store your full card details — see section 5)

Information collected automatically

When you visit our website we may collect:

  • Pages you visit and how long you spend on them
  • How you arrived at the site (for example from Google or social media)
  • Approximate location (usually town or region, based on IP address)
  • Device, browser and operating system information

This is collected through Google Analytics. See section 6 for details on cookies.


3. Why we use your information, and our lawful basis

UK data protection law requires us to have a valid reason (“lawful basis”) for using your personal information. Ours are set out below.

4. Marketing

We will only send you marketing messages where we are permitted to do so.

If you are an existing customer, we may contact you about similar services we offer. You can opt out at any time by replying to any message asking us to stop, or by emailing hello@branditmidlands.co.uk.

We do not sell your details to anyone, and we do not pass your details to third parties for their own marketing.


5. Who we share your information with

We do not sell your personal information. We share it only where necessary, with:

  • Our website host and email provider, who store the data on our behalf
  • Google (Analytics and advertising services) — see section 6
  • Suppliers and manufacturers, where we need to pass on delivery details or artwork to fulfil your order (for example a garment supplier or print partner)
  • Payment providers and our accountant, for processing and recording payments. Card payments are handled by the payment provider directly; we do not receive or store your full card details.
  • Professional advisers, insurers or authorities, where we are legally required to disclose information

Some of these providers, including Google, may process data outside the UK. Where that happens, we rely on safeguards recognised under UK data protection law (such as the UK International Data Transfer Agreement or an adequacy decision) to protect your information.


6. Cookies and analytics

Cookies are small files stored on your device when you visit a website.

Essential cookies are needed for the website to function — for example remembering your cookie preferences or keeping a form secure. These do not require your consent.

Analytics cookies are set by Google Analytics and help us understand how visitors use the site, such as which pages are most popular. These are only set if you agree to them.

You can also block or delete cookies through your browser settings, though some parts of the site may not work properly if you do.

Google Analytics is provided by Google. You can read Google’s own privacy information at policies.google.com/privacy, and opt out of Google Analytics across all websites using Google’s browser add-on at tools.google.com/dlpage/gaoptout.


7. How long we keep your information

  • Enquiries that do not become orders: up to 12 months, then deleted
  • Customer records, orders and correspondence: for the duration of our relationship and 6 years afterwards
  • Accounting and tax records: 6 years after the end of the relevant financial year, as required by HMRC
  • Artwork and brand files: kept on file indefinitely so we can fulfil repeat orders and reprints, unless you ask us to delete them
  • Website analytics data: as configured in Google Analytics, currently up to 14 months

8. Your rights

Under UK data protection law you have the right to:

  • Be informed about how we use your data — that is the purpose of this policy
  • Access the personal information we hold about you
  • Rectification — have inaccurate information corrected
  • Erasure — ask us to delete your information, where there is no overriding reason for us to keep it
  • Restrict processing — ask us to limit how we use your information
  • Data portability — receive certain information in a portable format
  • Object to processing based on legitimate interests, and to direct marketing at any time
  • Withdraw consent at any time, where we rely on consent

To exercise any of these rights, email hello@branditmidlands.co.uk. We will respond within one month.

There is normally no charge. We may ask you to confirm your identity before acting on a request.


9. Complaints

If you are unhappy with how we have handled your personal information, please contact us first at hello@branditmidlands.co.uk so we can try to put it right.

10. Security

We take reasonable technical and organisational measures to protect your information, including secure hosting, encrypted connections (HTTPS) and restricted access to customer records. No system is completely secure, but we take the protection of your information seriously.


11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Where changes are significant, we will make this clear on our website.
